Event Information

Welcome to this very prestigious group of employees, and to the event that celebrates your achievement.

Below are several pages of important information that you will find valuable as you make plans to attend this event.

PLEASE READ CAREFULLY BEFORE COMPLETING YOUR FORMS

Please read this document carefully and ensure you fully understand the required information, before you complete your travel form. If you have any questions, or concerns, please call the undersigned for clarification.

1. General Information:

An email address is mandatory. We will be contacting you by email to set up appointments for photos & corresponding interviews. Also, any questions we have regarding your flight requests as well as your flight confirmations (tickets) will be emailed to you at the appropriate time. If you do not have a work email address or a home email address that you check regularly, please get approval from your supervisor to have your flight information sent to their email address, and provide same.

This event is business/formal- suit & tie for gents, and for the ladies appropriate cocktail or evening wear.

You will also receive a formal invitation in July, please respond to this as it provides important information not included in the attached documents.

2. Photos & Interviews

In preparation for the event, we have included a brief questionnaire about your time with Sobeys and things that are important to you. Please complete and return as per the instructions on the sheet.

We will also require a professional photo and will be contacting you in the coming weeks to arrange the photo session. During this photo shoot, we will also conduct a brief interview that will expand on the questions asked in the attached form, this is to help write a more complete story for the commemorative book. We will be setting up appointments with as many employees in each area as possible to reduce the number of sessions. As you can appreciate this is a very costly process, so we ask that Value Champions please make every effort to attend the session when it is booked, as we may not be able to return to your area again. Everyone’s participation contributes significantly to the quality of the book, videos and the event itself.

3. Flights: (this section does not apply to employees from Nova Scotia, New Brunswick or Prince Edward Island)

Employees invited to attend this event have their flight and the flight of their guest paid for by the company. Each attendee is permitted one guest, and they must be of legal age in Nova Scotia (19 years or older) to attend the event.

Ensure your name and the name of your guest are EXACTLY as shown on the government issued ID you will be using at the airport (Passport or Driver’s License), otherwise your ticket may be invalid.

Flights are booked following the directions provided by the traveler on the attached form. Any changes following a booking will be at the cost of the traveler unless special circumstances occur and approval is given. All changes must be requested through the undersigned.

Unless our choices are severely limited, in most circumstances we will not use discount airlines as we have found reliability and customer service to be an issue. In some cases, this may mean that travelers may not be able to fly using their local regional airport. Decisions on this will be made by the travel agency in conjunction with the undersigned.

Unless you wish to arrive early/stay later; where possible, travelers will be flown in on Saturday October 3 with return flights on Sunday October 4 If you do wish to
travel on dates other than the above, please indicate clearly your dates of travel on the attached form. Most employees attending from out of province, plan a mini-vacation around this visit to Nova Scotia, so you may want to consider this before finalizing your flight information.

Employees traveling from certain locations cannot arrive on Saturday as flight times do not allow for an appropriate arrival time. Therefore we request that employees make plans to depart on Friday, and the company will pay for your hotel in Halifax for the extra night.

Locations that must fly on Friday include Gander NL, western/northern Ontario, and all locations west of Ontario.

4. Ground transportation:

We do not organize, arrange or provide ground transportation to/from the Halifax International Airport. Attendees are required to arrange their own transportation using one of the many options available -car rental agencies, limos, taxis. There is also a Metro Transit bus that travels regularly between the airport and downtown if you wish to take advantage of this mode of transportation.

On Saturday October 3 ground transportation is provided to/from the hotel and The Cunard Centre for the gala event. Further information will be provided on this at a later date.

5. Hotel stay:

If you plan to extend your stay either by arriving early or staying afterward, please ensure you indicate what nights you plan to stay at the host hotel. We will make your
reservations for you at the Marriott to ensure you are included in the Sobeys QCC room block, and receive the correct rate. As an employee being honoured at this event, the company pays for your hotel room for Saturday October 3 and if you are required to fly as per ltem 2(d) above, we will also pay for Friday October 2.

As information, the host hotel is the Marriott Harbourfront Halifax; our rate for the event: $179 + taxes.

Please DO NOT call the Marriott to book rooms yourself or make changes -they will not be able to provide information on the Sobeys room block. Any changes must be made through Events by Marilyn Roy.

If you are extending your stay and wish to stay at an alternate location(s) on these extra nights, you are welcome to make your own plans accordingly. As part of your extended stay, I am more than happy to offer any information I can.

6. Non-Reimbursable expenses:

The following expenses are not reimbursed by the company and are the sole responsibility of the employee/attendee:

  • Parking at your departure airport
  • Gas/travel to/from your home to the airport
  • Gas/travel to/from your home to Halifax if you are within the Maritime provinces
  • Ground transportation to/from the Halifax International Airport
  • Meals while traveling
